The model
What exactly is TrackDrive Pro?

TrackDrive Pro is a remote staffing company that places one dedicated, sector-trained specialist into a defined role in your business, and trains a second specialist on the same account as backup. Functions covered include customer support, medical billing, executive assistance, bookkeeping, trucking dispatch, Airbnb and short-term rental co-hosting, sales development, marketing, SEO and web development, and e-commerce operations.

How is this different from a call centre or a shared virtual assistant pool?

A call centre routes your customers to whoever is free, so nobody accumulates knowledge of your business. We place one named person who works only your account and learns your systems, your tone, and your escalation rules — with a trained understudy behind them for continuity.

What does the trained backup actually mean in practice?

A second specialist is trained on your account in parallel with the primary, before anything goes wrong. If your primary is sick, on leave, or resigns, the backup steps in with existing knowledge of your process rather than starting from a handover document.

Do I manage the person, or do you?

You direct the work because it is your business. We handle employment, performance management, cover, and quality review, and you have a named contact on our side. The intention is added capacity without another vendor relationship to administer.

Getting started
How long does it take to get someone working?

Most placements go live within two weeks of the scoping call. Well-documented roles can move faster; roles needing specialist software or compliance steps can take a little longer. You receive a specific date in writing at the role-definition stage.

What do I need to have ready before onboarding?

System access, whatever written process already exists, and a clear rule for which decisions should be escalated rather than made independently. If the process only exists in your head, documenting it is part of onboarding.

Can I meet the person before committing?

Yes. You interview the proposed match before we proceed with training. A placement neither side is confident about is not worth starting.

What if the match turns out to be wrong?

Tell us early and we replace them. Because a backup is already trained on your account, a change does not reset your process knowledge to zero.

Day-to-day operations
What hours will my specialist work?

Coverage is agreed in your timezone during scoping, including whether the role needs evenings or weekends. Windows are staffed deliberately rather than handled by a rotating out-of-hours queue.

Which software can they work in?

Placements are trained inside the systems you already use — practice-management and EHR platforms, load boards and TMS tools, helpdesks, CRMs, and accounting software among them. You are not asked to change platforms to suit us.

How is quality actually monitored?

Each placement has a written scope with owned outcomes and a review cadence. Reviews are run against those outcomes — response times, days in AR, revenue per mile, ticket backlog — rather than against hours logged.

Can one specialist handle more than one function?

Sometimes, for smaller operations. We would rather scope one role properly than spread one person thin across three. That trade-off is discussed openly rather than quietly accepted.

What happens when my volume spikes?

The trained backup can add temporary capacity, which is one of the practical benefits of training them in advance rather than after a crisis.

Cost and commercials
How much does it cost?

One monthly figure per placement, quoted after a 30-minute scoping call. Cost is driven by weekly hours, coverage window, function complexity, and the number of systems involved. Backup training is included rather than charged separately.

Are there setup fees or long lock-ins?

Onboarding and training sit inside the monthly figure rather than a separate setup fee, and commercial terms are discussed plainly on the call rather than buried in small print.

Can I start part-time and scale later?

Yes, and most engagements do. A defined part-time scope is usually a better test of fit than committing to full-time coverage immediately.

What happens to my data and access?

Access is limited to the systems the role genuinely requires, and specialists work to your documented handling rules. Data-handling expectations, confidentiality, and any sector-specific compliance requirements are agreed during scoping before access is granted.
