Specialists who already speak your industry’s language
We do not hand you a generalist and hope. Every placement is matched to your sector, trained on its workflows and software, and backed by a second specialist who knows your account.

Front-desk phones ringing out to voicemail, prior authorizations sitting for days, and claims aging past 90 because nobody owns the follow-up. We place the person who owns it.
What the placement measurably moves
| Metric | How it changes |
|---|---|
| Days in AR | Someone chases every aging claim on a fixed weekly cadence instead of when things get quiet. |
| Phone abandonment | Calls answered live during your posted hours, not routed to voicemail at lunch. |
| No-show rate | Confirmation and recall sequences worked consistently, not when the front desk has a spare minute. |
Systems we work in: Practice-management and EHR platforms including Athenahealth, DrChrono, Kareo/Tebra, eClinicalWorks, Dentrix, and Open Dental. If you use something else, your specialist is trained on it during onboarding.
Roles we place in Medical and Dental Practices
Claim submission, denial reworks, aging reports, payer follow-up calls, and patient statement questions — inside the practice-management system you already use.
Submitting, tracking, and chasing auths so procedures are not rescheduled the morning they were booked.
New-patient calls, insurance verification, recall lists, and filling the gaps left by same-day cancellations.
Trucking & Logistics
If you are driving and dispatching at the same time, one of those jobs is getting the worse version of you. We place dispatchers who work loads while you work the road.
What the placement measurably moves
| Metric | How it changes |
|---|---|
| Deadhead miles | Next load worked before the current one delivers, not after the truck is already empty. |
| Revenue per mile | Rates negotiated on every load instead of accepting the first number on the board. |
| Paperwork lag | PODs chased the day of delivery so invoicing and factoring are not waiting on a photo. |
Systems we work in: Load boards and TMS tools including DAT, Truckstop, and common fleet and ELD platforms. If you use something else, your specialist is trained on it during onboarding.
Roles we place in Trucking and Logistics
Working the boards, comparing lane rates, negotiating with brokers, and booking ahead so the truck is not sitting empty on a Friday.
Check calls, appointment scheduling, detention and layover tracking, and driver updates through delivery.
Carrier packets, rate confirmations, BOL and POD collection, invoicing, and factoring submissions.
Law Firms
Billable hours disappear into intake calls, document chasing, and calendar management. We place the support layer so partners stay on billable work.
What the placement measurably moves
| Metric | How it changes |
|---|---|
| Intake conversion | Enquiries answered while the caller is still deciding, not returned two days later. |
| Billable capacity | Administrative hours moved off partners and associates onto dedicated support. |
| Realisation rate | Time captured and prebills prepared on schedule instead of reconstructed at month end. |
Systems we work in: Practice-management and document tools including Clio, MyCase, PracticePanther, and Filevine. If you use something else, your specialist is trained on it during onboarding.
Roles we place in Law Firms
Answering new-matter enquiries live, running your screening questions, and booking consultations straight into the calendar.
Opening matters, organising discovery, chasing client documents, and keeping the case file current.
Prebill preparation, time-entry chasing, invoicing, and following up on outstanding balances.
Real Estate & Short-Term Rentals
Guest messages at 2am, turnovers that need confirming, and leads going cold in the inbox. We place the person who covers the hours you cannot.
What the placement measurably moves
| Metric | How it changes |
|---|---|
| Response time | Guest messages answered inside platform response windows, including evenings and weekends. |
| Review scores | Issues caught and resolved during the stay rather than discovered in a public review. |
| Occupancy | Enquiries worked promptly so open dates get filled instead of aging out. |
Systems we work in: Hospitality and CRM platforms including Airbnb, Vrbo, Guesty, Hostaway, and standard real-estate CRMs. If you use something else, your specialist is trained on it during onboarding.
Roles we place in Real Estate and Short-Term Rentals
Guest messaging within your response window, booking enquiries, check-in instructions, review requests, and issue triage.
Scheduling cleaners and maintenance between bookings, confirming completion, and flagging problems before the next guest arrives.
Working new enquiries, nurturing older leads, preparing listings, and coordinating showings.
E-Commerce & Retail
Support tickets pile up after every promotion, and margin quietly leaks through returns and chargebacks nobody has time to contest. We place the person who works the queue daily.
What the placement measurably moves
| Metric | How it changes |
|---|---|
| First-response time | Queue worked on a schedule, so response times do not collapse during a sale. |
| Recovered revenue | Chargebacks and carrier claims actually contested instead of written off. |
| Repeat purchase rate | Support experience good enough that buyers come back without a discount. |
Systems we work in: Storefronts and helpdesks including Shopify, WooCommerce, Amazon Seller Central, Gorgias, Zendesk, and Freshdesk. If you use something else, your specialist is trained on it during onboarding.
Roles we place in E-Commerce and Retail
Tickets, live chat, WISMO enquiries, exchanges, and refunds handled inside your helpdesk to your policies.
Processing returns, filing carrier claims, and contesting chargebacks with evidence assembled properly.
Product uploads, copy and image updates, inventory sync, and marketplace listing hygiene.
Agencies & Professional Services
Senior people doing coordination work is the most expensive way to run an agency. We place the delivery and admin layer underneath them.
What the placement measurably moves
| Metric | How it changes |
|---|---|
| Senior utilisation | Coordination moved off billable seniors onto dedicated support. |
| On-time delivery | Someone owns the tracker and chases the blockers before the client notices. |
| Receivables | Invoices out on time and followed up on a schedule. |
Systems we work in: Operating tools including Asana, ClickUp, Monday, Notion, HubSpot, QuickBooks Online, and Xero. If you use something else, your specialist is trained on it during onboarding.
Roles we place in Agencies and Professional Services
Inbox and calendar ownership, meeting notes and follow-ups, project tracking, and client status updates.
Pulling numbers, building recurring client reports, scheduling content, and maintaining trackers.
Categorisation, reconciliations, invoicing, and chasing receivables so cash flow is not a monthly surprise.
What owners ask about industry fit
Do you actually understand my industry, or is this general admin help?
Placements are matched to sector and trained on that sector's workflows before they start. A medical billing placement works denials and payer follow-up; a dispatch placement negotiates lane rates. The training is role-specific, not a generic virtual assistant course.
What if my business does not fit any of these industries?
The six listed are where we place most often, not a restriction. The model works anywhere there is a repeatable role with defined outcomes. Bring the role to a scoping call and we will tell you honestly whether we are the right fit.
Will my specialist learn the software we already use?
Yes. Onboarding happens inside your systems and your documented process, so you are not changing platforms to suit us. Where a tool is unfamiliar, training happens before the placement takes live work.
Can one person cover more than one function?
Often, for smaller operations — for example intake plus scheduling, or dispatch plus paperwork. We would rather scope one role properly than stretch one person across three and have all three suffer. That trade-off gets discussed openly on the call.
How is this different from hiring a freelancer for the same work?
A freelancer is one person with no continuity plan. Every TrackDrive Pro placement includes a second specialist trained on your account in parallel, so an illness, a holiday, or a resignation does not reset your process knowledge to zero.
Tell us the role, and we’ll tell you who fits it
A 30-minute scoping call. We map the tasks, agree the hours and the coverage window, and you meet the specialist before anything is committed.
