From first call to live coverage in under two weeks
A written scope, a specialist trained on your business, and a backup trained in parallel. Here is exactly what happens, and what we need from you at each stage.
Scoping call
We map the role against what actually consumes your week — the tasks, the tools, the hours that need covering, and what a good month looks like in numbers. If the honest answer is that you need a different kind of hire, we say so on this call rather than sell you a placement that will not hold.
Role definition
You get a written scope: the responsibilities, the coverage window in your timezone, the systems involved, the reporting cadence, and the specific outcomes the placement owns. Nothing is left as an assumption, because ambiguity is what makes remote placements fail.
Matching & primary training
We select from specialists already trained in your function, then train the chosen person on your business specifically — your systems, your escalation rules, your tone with customers. You interview the match before we proceed.
Backup training in parallel
A second specialist is trained on your account at the same time as the first, not after something goes wrong. This is the part most providers skip, and it is the reason a sick day here does not become your problem.
Go live with structured handover
Your specialist starts on live work with a documented handover and a check-in rhythm. You get a named point of contact on our side who reviews the placement with you, so quality is managed rather than assumed.
Ongoing review
Regular reviews against the outcomes agreed in the scope. Where the role evolves — and it usually does — the scope is updated in writing and training follows. The backup stays current the whole time.
Why the backup is trained before you need it
Most remote staffing breaks at the same point: the one person who knew your process becomes unavailable, and you start again.
| When this happens | Typical provider | TrackDrive Pro |
|---|---|---|
| Your person is off sick | Queue backs up, or a stranger covers with no context | Trained backup steps in the same day |
| They take annual leave | You absorb the work, or accept the gap | Planned cover, already briefed on your account |
| They resign | Re-hire, re-train, rebuild process knowledge | Backup becomes primary, new backup trained behind |
| Volume spikes unexpectedly | Response times slip until it settles | Backup adds capacity temporarily |
Questions about onboarding and management
How long until someone is actually working?
Most placements go live within two weeks of the scoping call. Simple, well-documented roles can move faster; roles requiring specialist software training or compliance steps can take slightly longer. You get a date in writing at the role-definition stage.
What do I have to prepare before onboarding?
System access, any written process you already have, and a clear escalation rule for decisions the placement should not make alone. If your process is only in your head, onboarding includes documenting it — which most owners say is worth having regardless.
Who manages the person day to day?
You direct the work, because it is your business. We handle employment, performance management, cover, and quality review, and you have a named contact on our side. You are not left managing a manager, and you are not left alone with a stranger either.
What happens if the match is wrong?
You tell us early and we replace the placement. Because the backup is already trained on your account, a change does not mean starting your process knowledge from zero. Being honest quickly costs far less than tolerating a bad fit for three months.
Can I start with part-time and scale up?
Yes, and most engagements do. Starting with a defined part-time scope is usually the better test of fit than committing to full-time coverage on day one. Hours can be increased once the role proves itself.
What are the working hours?
Coverage is agreed in your timezone during scoping, including whether you need evenings or weekends. Coverage windows are staffed deliberately, rather than being a rotating queue that hands your customers to a stranger after 5pm.
Start with the scoping call
Thirty minutes, no pitch deck, no obligation. You leave the call knowing whether this model fits your business — including if the answer is no.
